This role will be accomplished by representing Pur Skin Clinic in a positive, professional manner at all times, by living the Pur Skin Clinic mission statement throughout their interactions with patients and employees alike.
The priorities of the Patient Care Coordinator are:
To ensure that every patient receives the highest quality care and service from the first moment of contact with Pur Skin Clinic, with a pleasant greeting and positive attitude creating a positive first impression.
Provide excellent client care and customer service with professional representation during client interactions at all times, projecting a positive, enthusiastic, and friendly attitude.
Manage multiple responsibilities while maintaining composure, always keeping clients a priority.
Job duties include:
Complete opening and closing duties Ensure lobby area is always Show ready - water plants, sweep & mop treatment floors/waiting room and front entrance spotless (including outside of the door) Check patients in before treatment, ensuring that all intake forms are complete and consent forms are signed Provide information and education of all treatments, service, and product inquiries to include clinic and provider credentialing, using the patient's name throughout the telephone discussion.
Respond to voicemail every 15' Responsible for inquiries and responding within 15' - Enter all inquiries on the weekly inquiry tracking sheet and follow up if not scheduled after 3 days Follow up with patients on Consult Conversions report- 1 week and 2 weeks post.
Answer and screen a high volume of inbound phone calls ensuring phone queue is set-up for backup calls at all times Communicate with back-office throughout the day regarding new patients that have been added or patients that are running late Scan and upload any necessary patient information daily Report any phone issues to management immediately ensuring incoming calls are efficiently answered Accurately schedule treatments (cluster schedule to optimize provider's time and patient flow) Maintain a constant presence at Pur Skin Clinic front desk in order to be available for check-in, check-out, and all patient questions Register clients for Alle Rewards and communicate points upon arrival Enter the patient's Alle points daily & sign up all patients to the Alle rewards program Contact patients with expiring Alle reward points and/or offers Always observe HIPPAA.
Respects patients by recognizing their rights; maintaining confidentiality Assist with laundry, back office duties, kitchen duties as needed.
