The Office Manager will be working closely with the Owner, General Manager, and Controller.
This role is both a lead and support position with a wide variety of duties.
The duties and responsibilities will expand with proven demonstration of skill, trustworthiness, sound judgment, and reliability.
Duties Include:
Office Management:
Maintain office supplies and company clothing stock.
Coordinating IT needs with external IT Company.
Answer phones and respond to voicemails.
Manage general company email inbox and calendar.
Job binder set-up and general filing.
Oversee employee annual safety courses - new hire and annual renewals.
Take part in safety, equipment, and tool rental monitoring processes.
All other functions necessary to keep the office running smoothly.
Accounting:
All aspects of Accounts Payable.
Set-up new vendor and trade accounts.
Monitor trade licensing and insurance compliance.
Complete lien waivers as required.
Payroll assistance including new hire reporting, timesheet entry, and health insurance enrollment.
Estimating/PreConstruction Services Support:
Issue and track requests for proposals.
Input quotes into project estimates.
Download plans and order plan set printing.
Coordinate with estimator throughout the process.
Qualifications:
Proficient with Microsoft 365 applications especially Outlook, Excel, and Word.
QuickBooks Desktop experience preferred.
Strong organizational skills are required.
Commitment to high quality work with excellent time management skills.
Ability to maintain confidentiality with sensitive information.
Self-motivated, detail oriented, effective communicator, and reliable.
Excellent multi-tasker that works well on their own and with others.
Critical thinker that takes pride in their work.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
